The 90 day policy is brought in to give volunteers enough time to renew any current DBS they have before it expires.

There are 3 different scenarios where by the 90 day policy comes in to effect.

Volunteers who register that do not have any DBS certificate:
If a volunteer registers on the WRU Game Locker for an age grade role, but does not have any DBS certificate on our system, then they will be sent an email with a link to complete a new DBS check.

That email can take 24 hours to arrive from the point of registering.

The volunteers registration will be viewable by the club in MYWRU, but it will not be able to be approved ('greyed out') until the DBS check has been completed by the Disclosure and Barring Service. 

Volunteers who register but have less than 90 days left on their current DBS at the point of registering:
If a volunteer registers on the WRU Game Locker for an age grade role, and their current DBS certificate expires within 90 days of the current date, then they will be sent an email with a link to complete a new DBS check.

That email can take 24 hours to arrive from the point of registering.

The volunteers registration will be viewable by the club in MYWRU, but it will not be able to be approved ('greyed out') until the DBS check has been completed by the Disclosure and Barring Service. 


Volunteer who registers and has more than 90 days left on their current DBS certificate:
If a volunteer registers on the WRU Game Locker for an age grade role, and their current DBS certificate has more than 90 days left, then the club is able to approve that volunteers registration. 

As soon as the volunteers DBS certificate has 90 days left to expiry, they will be sent an email with a link to complete a new DBS check. 

The volunteer then has 90 days to complete their DBS check, before their access to MYWRU is removed and their active role is suspended.  

The volunteers registration will be viewable by the club in MYWRU, but it will not be able to be approved ('greyed out') until the DBS check has been completed by the Disclosure and Barring Service.
